Job Description
As the Area Leisure Sales Coordinator, you will support Regional Directors, Leisure Sales for Fairmont Kea Lani and Fairmont Orchid in all their administrative needs, is in charge of overall office organization, and prepares bi-weekly, monthly, quarterly and annual reports relating to Account Production. The coordinator also focuses on preparing and distributing all tour, wholesale and consortia contracts, addendums and special promotions. The coordinator arranges and conducts site inspections and FAMs and serves as a backup for Regional Director, Leisure Sales when they are out of office.

FAIRMONT ORCHID: This AAA Four Diamond luxury resort nestled along Hawai’i Island’s pristine Kohala Coast offers 540 elegant guestrooms, eight outdoor areas featuring 76,000 sq. ft. of open air function space and 27 indoor meeting rooms, all nestled on 32 acres of beachfront property.
Hourly Rate: $29.76
What you will do:
Coordinate and support all aspects of sales administrative activities
Prepare and distribute production reports
Process contracts, addendums, promotions, etc. as required
Arrange site inspections and FAMs including amenities, room reservations, dining and spa reservations, airport transfers and etc. and coordinate with the Operations team(s).
Conduct site inspections for leisure clients
Coordinate with other departments within the hotels to ensure the distribution of pertinent information such as contracts, addendums, site inspection forms, memos, etc. to all departments and maintain an orderly working environment
Prepare collaterals and amenities as requested by Leisure Sales Managers
Maintain an accurate supply of all Leisure Sales collaterals
Coordinate sales trips and tradeshows for Leisure Sales Managers including shipping, airline, hotel and rental car reservations.
Liaise with clients in absence of Leisure Sales Managers
As required, assist in Marketing & Content Management:
Helps prepare Corporate and hotel mandated reoccurring reports for submission prior to deadline for DOSMs of Fairmont Kea Lani and Fairmont Orchid
Helps prepare and support the month end and forecasting process for Fairmont Orchid for submission to DOSM and where needed and relevant to DOSM Fairmont Kea Lani
Mail collateral, amenities, trip materials, etc. as requested
Possess and share knowledge of Fairmont Kea Lani & Fairmont Orchid products including accommodation, dining, history and heritage, activities and local programming
Actively participate in industry and hotel training programs
Actively seek opportunities to improve systems and procedures
Attend all Sales meetings and other meetings as required
Qualifications
Specific Job Knowledge, Skills and Abilities:
Must be able to speak, read, write and understand the English language.
Must possess excellent communication skills, both verbal and written.
Must have strong interpersonal and problem solving abilities
Computer literacy in various applications and tools including, but not limited to, Microsoft Word, Excel, PowerPoint and Windows
Knowledge of Opera Sales & Catering / Opera Sales Force Automation and Property Manager are assets
Proactive and highly detail-oriented with excellent organizational skills
Ability to manage multiple functions and projects while meeting deadlines
Articulate, self-motivated, energetic and positive team-player
Confident, well-groomed, pleasant telephone and personal disposition
Knowledge of Fairmont Kea Lani and Fairmont Orchid heritage, facilities and programs are a definite asset
Education
Bachelors Degree and/or Hotel Management Degree preferred
Experience
Minimum one year experience in hotel environment (ideally in Sales, Reservation, Conference Service or Front Office)
